  • Bookings and reservations

To book a cycling event, an application must be sent to us through one of our official channels (contact form / email). Upon receiving this application, contact will be established to determine the perfect package considering your wishes and needs. After signing the proposal by both parties a reservation confirmation will be made up and send to you. The reservation is made official upon reception of the advance payment.

  • Prices and validity

Proposal
The total costs for the cycling event are detailed in the proposal. Costs are based on twin occupancy unless agreed otherwise. Prices are always exclusive of airline tickets. By signing and agreeing these terms and conditions you agree to the proposal and the costs therein provided. You will find the proposal accompanying this document in our correspondence.

Payment conditions
After signing the contract a 70% advancement of the total costs will be provided. Upon reception of payment the reservation is made official. The remaining 30% will have to be paid up in full 4 weeks prior to the start of the event. If the reservation is made within 4 weeks of the start of the event the full amount will be charged and is due immediately.

  • Your experience

During the event we will cross several governates of the Sultanate of Oman. We will encounter varying standards of comfort regarding accommodation, transport, safety, hygiene, medical facilities and infrastructure. Partaking in this event involves a risk of injury, psychological trauma, disease, loss or damage to (personal) property, inconvenience, and discomfort. You agree to assume all risks associated with the activities during the event to the maximum extent permitted by law. In preparation of this event we use information from our local office in conjunction with advice from local government and authorities or commercial sources. It is your responsibility to acquaint yourself with the advice given. By signing you acknowledge your decision to take part in this event is made after due consideration of relevant information that may be made available at any time and you agree to assume the risks associated with the activities.

  • Disclaimer

Where we provide services, we will do so with due care and skill. We are not responsible for the acts and omissions of others, including guides, transport and accommodation providers or for any loss, damage or expense (including loss of money paid in advance) which you may incur as a consequence of the acts and omissions of others. You warrant that you have not relied on any representation made by us which has not been stated expressly in these conditions. We will not accept responsibility or liability for any client who contravenes any law or regulation of any area visited. Any independent arrangements that you make that are not part of the event organized by us are entirely at your own risk. We do not accept liability for any loss or damage, however caused (including through negligence), which you may directly or indirectly suffer in connection with this contract or in respect of a failure or omission on the part of our company to comply with its obligations in this contract. This disclaimer set out here does not attempt to purport to exclude, restrict or modify liability arising under statue if, and to the extent, such liability cannot be lawfully excluded.

  • Cancellation

We reserve the right to cancel (activities or parts of) the event and will advise you of such cancellations. In this case we will offer alternative arrangements. If the price of these alternative arrangements are of lower value than the original agreement we will refund the difference to you. If you do not accept alternative arrangements we will refund all payments you have made to us, less any unrecoverable costs incurred organizing and preparing the event. We will not be liable under any circumstances whatsoever for any claims made by you for any additional costs incurred by you.

We will not be liable for any delay in, change to or cancellation of any activities or experiences due to Force Majeure. Force Majeure means a circumstance beyond reasonable control of our company and includes but is not limited to war, or threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, pandemic, industrial or nuclear disaster, adverse weather conditions, fire and strikes. If we cancel (parts of) the event as a result of Force Majeure or government command (or advice) we will refund all payments you have made to us, less any unrecoverable costs incurred by us, but we will not be liable under any circumstances whatsoever for any claims made by you or any additional costs incurred by you.

By you
If you wish to cancel all or any part of your booking, notification or cancellation must be made to us in writing. The date when written confirmation of cancellation is received by us will determine the charges applicable. Loss of money paid is as follows (unless agreed otherwise in writing):

  • Up to 12 weeks prior to the start of the event – 30% of booking cost
  • Between 12 and 4 weeks prior to the start of the event – 70% of booking cost
  • 4 weeks or less prior to the start of the event – 100% of booking cost

If you do not pay the total booking cost within the timetable put forward in 2b of these terms and conditions, the contract may be terminated. No refunds will be made if you leave the event for any reason after it has begun.

  • Amendments

Booking amendments
If you desire to make any chances to your booking, or any part of it, before or during the event, such changes should be discussed with us for approval. Any additional costs will be communicated to you for agreement before changes are approved. We reserve the right to charge according to the changes desired, including any organisational and administrational charges if applicable.

Changes to the event
We deserve the right to adjust the route at any time whenever it is in the judgment of the trip leader. Changes may occur because of Force Majeure, poor road conditions, weather, availability of transport, vehicle breakdowns, physical condition of the participants or other circumstances beyond our control. You accept that such changes may occur. Where changes occur we will, where practical, advise you of such changes. We do not accept any responsibility for loss of enjoyment, delays or compensation resulting from changes due to Force Majeure or any reasons beyond our control.

  • Authority

During the event the decision of the event leader, guide or company representative will be final on all matters likely to affect the safety and well-being of the event. You must, at all times, strictly comply with the laws, customs, foreign exchange and drug regulations of all places visited. Should you fail to comply with the above, or should you interfere with the well being of the group, the trip leader, guide or company representative reserves the right to order you to leave the event immediately with no right of refund.

  • Safety

During the cycling activity helmets must be worn at all times. We are able to advise participants on suitable protective equipment to conduct our events safely. We and our service providers take no responsibility for participants failing to follow safety instructions and the directions of the supervising staff. Participants choosing to undertake parts of the event without supervision do so entirely at their own risk and fully accept that such activities may carry the risk of injury or death.

  • Complaints

If you have any complaint about your experience or activity, you must make it known to us at the earliest opportunity. Where possible we will take appropriate action. If you are not satisfied with the response of our representative and feel your enjoyment is likely to be significantly affected, you should notify us in writing, and we will do our best to resolve the problem. If, at the end of the experience, you feel your complaint has not been properly dealt with you must notify us in writing within 30 days of the end of your experience.

  • Travel documents

Every participant must be in possession of a passport valid for at least 6 months from the day of departure from the country where the event takes place. Each participant is responsible for their own vaccinations where applicable. We recommend to contact the travel authorities in your home country. Airline tickets are the responsibility of the participants, we offer support and advice where needed. Insurance is dealt with under part 13 of these terms and conditions.

  • Pre-existing medical conditions

It is your responsibility to advise us of any pre-existing medical conditions or food allergies that might reasonably be expected to increase the risk of you requiring medical attention, or that might affect the normal conduct of the event for you and/or other participants. You may be required to provide an assessment of your medical condition from a qualified medical practitioner if requested by us or any of our suppliers. We reserve the right, at our discretion, to cancel your booking and refund the money paid by you, less any unrecoverable costs. We also reserve the right to cancel your participation in the event at any time, including after it has started, with no right of refund if your medical condition could be reasonably expected to affect the normal conduct of the activity.

  • Health and fitness

To partake in any of our cycling events, we expect all participants to be in good physical and mental condition with which it can reasonably be expected to finish. Preparation required are at each participants discretion. We are happy to advise if necessary. As a company we reserve the right to cancel the participation of a particular member and refund money paid, less any unrecoverable costs, if clearly deemed unsuitably prepared for the event.

  • Insurance

All participants are individually responsible to be insured for any risk or injury that could be the result of participation of any of the (cycling) activities during this event. We will not accept responsibility or liability for any (medical) costs resulting from partaking in this event. Such damages, including but not limited to, loss, theft, cancellation of flights, or injuries must be claimed from the insurance company. It is therefore highly recommended to all participants to insure themselves against such risks.

  • Publicity

You agree that we may use images of you, taken during the event without recourse to you and without compensation to you, for publicity and promotional purposes only through whatever medium we choose. If any objection to this section exists exclusion can be agreed upon in writing.

  • Privacy

Certain information will be collected by us before and during the event. Personal information is collected only to enable us to provide you with the services necessary for organizing the event. The information may be disclosed or collected on our behalf by our service providers to enable these services to be provided, but will not be used by them for any other purpose. The information may also be used to inform you of additional products and services, which may be of interest to you. All reasonable information which we collect will be kept confidential to the best of our ability. We will not disclose personal information such as your name, address, telephone number, to any person outside of the organisation, unless you have authorised us to do so or unless required by law to disclose such information. Furthermore, under no circumstances will we sell or lease or in any other way provide personally identifying information to any third party.
